Most Al Ain buildings should sit mostly in preventive with condition-based elements on the assets that matter — chiefly AC, where measured readings tell you a lot before a failure occurs.

Building a schedule that is not just a calendar

A preventive programme that services everything at the same interval wastes money on assets that do not need it and under-serves the ones that do. The sequence:

1. Asset register

You cannot maintain what you have not listed. Make, model, age, location, duty and condition for every asset. Most buildings we survey have never had one, and building it usually surfaces two or three items nobody knew were at end of life.

2. Criticality

What happens if this fails? An AC unit in a warehouse office is an inconvenience. The same unit in a server room or a cold store is a business interruption. Criticality, not asset type, sets the interval.

3. Frequency by condition and environment

This is where Al Ain diverges from generic guidance. Inland highs reach 38 to 44°C against 35 to 41°C on the coast, with 48°C recorded here, and sandstorms occur intermittently through the hot months. Practically: filter intervals shorter than a coastal specification, condenser cleaning more frequent, electrical connection checks scheduled because thermal cycling loosens terminals. Meanwhile humidity falls to around 21% in May, so drain pan and biological treatment needs are lower here than a coastal building of the same type.

4. Seasonal weighting

Work backwards from when assets are loaded. In Al Ain that means the heavy preventive work lands February to April. A schedule that services AC in September has done the right work at the wrong time.

Readings only become useful when you have several of them. Compressor current draw logged over three visits tells you something a single reading cannot. This is where preventive begins to shade into condition-based, and it is free — you are already taking the reading.

What you should receive

  • Asset register, kept current
  • Annual schedule showing what happens when
  • Visit reports with work done and readings taken
  • Photographs on cleaning and remedial works
  • Prioritised remedial list with indicative costs
  • An annual view of what is likely to need capital spend next year

That last item is the real product. You should end each year knowing which assets will cost you money next year, early enough to budget for them.

Where preventive maintenance does not pay

On assets already at end of life. Servicing a system with a failing compressor is spending money to delay a decision. Replace it and start preventive on the new one.

On very small, simple properties. A one-bedroom apartment with a single split unit needs an annual service, not a programme. We will say so.

Where nobody will act on the reports. A preventive programme producing remedial recommendations that are never actioned is an expensive filing exercise. If the budget to act does not exist, be honest about that and prioritise ruthlessly instead.

How do I know what interval an asset needs?
